Role definition
Summary: Responsible for providing admin assistance to the group divisions including construction, mobility, joinery, facilities management and building services. The role involves performing all office based administrative activities proactively and efficiently, enabling all team members to work easily and quickly to maximise efficiency. You will work towards the development of Construction North Group’s vision and values, with an engaged team and will be able to deliver the assigned work to the highest of standards.
Key Responsibilities:
• Oversee all aspects of general office administration
• Undertake all general office admin duties in an efficient manner, always offering a good and consistent service to office staff
• Answering telephone calls, enquiries and requests and handle them courteously and appropriately
• Assist with all divisional administrative duties in an efficient manner
• Manage and file subcontract quotations
• Manage and file correspondence
• Create handover folders for site mobilization
• Collate information for Operations & Maintenance manuals
• Assist with ordering for project setup & supplies (site welfare, consumables etc as required)
• File and retrieve group company documents, records and reports and ensure all filing up to date and well-managed
• Formatting documents, reports, letters, presentations and other documentation.
• Ensure all incoming and outcoming post is dealt with effectively, including managing the franking of post and arranging couriers as necessary
• Supporting other members of the senior team as needed.
• Assisting with printing/binding of reports, presentations and any other documents as required.
• Ordering appropriate office supplies and liaise with equipment vendors.
• Ordering materials for all divisions as and when required
• Manage and collate Customer Experience (CX) scores
• Manage and collate Quality Check (QC) scores
• Assist with any Assisted Living administrative duties in an efficient manner
• Create Site Files (Safety, Sustainability, Performance)
• Assist accounts with inputting bills/invoices at month end
• Assist accounts with raising purchase orders
• Assist accounts with the approval invoice approval process
• Assist accounts with any statement reconciliation and any other duties required
• Assist FM division with chasing quotations
• Chasing the FM supply chain for dates for pre-planned work
• Arrange for the repair and maintenance of office equipment
• Any other reasonable duties as required
Qualifications and training:
• Up to 5 years + in similar role
• Educated to A level or equivalent
• Degree or NVQ desirable
Technical skills and experience:
• Proven Experience of office administration
• Computer literate in all Microsoft Office 365
• Experience of managing and maintaining database systems
• Excellent oral and written communication skills and strong inter-personal skills
• Ability to write clear, concise minutes and reports
• Experience of working within a small team and/or prioritising own workload
• Excellent time keeping, reliability and personal organisation skills
• Ability to manage a given list of tasks
• Ability to work well either alone or as part of a team
• Experience in Adobe Creative Suite is desirable
• Polished and professional presence
• Consistently positive attitude with ability to create strong first impression for office visitors
• Extremely proactive and productive
• Calm under pressure
